September 2021

College Policy Manual changes for September 23, 2021

P105: COVID-19 Vaccinations

Amended (September 21, 2021)

This policy has been updated to include the duty to accommodate under the Ontario Human Rights Code. Section 2.3.1 has been added to include the College’s duty to accommodate under the Ontario Human Rights Code. Standard 1: Vaccination Procedure has been updated to include Section 6. Accommodation. Under Exemptions (Section 7 of Standard 1), a new item has been included regarding the requirement to complete a vaccination education module when requesting a medical exemption.

The purpose of this policy is to provide direction to Fanshawe’s community members regarding the conditions under which individuals will be permitted on Fanshawe’s campuses in order to protect them from the spread of COVID-19.

College Policy Manual changes for July 14, 2021

P215: Flexible Work

New (July 14, 2021).

The purpose of this policy is to establish a framework for flexible work arrangements to address the evolving work environment and the changing needs of both the College and its employees. Understanding and flexibility is paramount in our changing environment.

The College developed this policy to address which roles may be eligible for flexible work, guiding principles for flexible work and responsibilities of the College, employees and managers. Students remain our number one priority and meeting their needs will factor into all decisions around flexible work. The policy was developed with the following guiding principles:

  1. Meeting student needs;
  2. Respecting employee productivity and innovation;
  3. Enhancing well-being, safety and work-life balance;
  4. Using space effectively.

A mandatory Flexible Work training module for anyone approved for flexible work is under construction by Organizational Development and Learning with input from Employee Health and Safety and the Flexible Work Arrangement Task Team. The module will feature health and safety guidance and will reiterate key points in the policy. It is expected to be ready to be rolled out in September.

College Policy Manual changes for June 25, 2021

A128: Student Appeals

Amended (May 26, 2021/CC-20-09) **Effective September 1, 2021**

This policy received a full review. Changes include a new non-mandatory step in the appeal process, notification of confidentiality of the process, enhancement to the removal of bias relating to the issuing of a penalty from policy A136 Academic Integrity and possible subsequent appeal, improvements to the appeals checklist for clarity and linkage with policy A136 Academic Integrity. In addition, committee of review information is now included in a new terms of reference called Committee of Review (TOR34).

A136: Academic Integrity

Amended (May 26, 2021/CC-20-09) **Effective September 1, 2021**

This policy received a full review. Changes include improvements to the use and applicability of formal warnings, notification of confidentiality of the process, improvement to the checklist for academic offences for clarity and updated draft e-mails for students.

TOR34: Committee of Review

New (May 26, 2021/CC-20-09) **Effective September 1, 2021**

This Terms of Reference is new. As noted above, the content of this Terms of Reference is mainly a duplication of what was currently included in policy A128. Clarity of purpose and actions of the Committee have been added and the draft meeting script is included in this document.

P203: Accessibility for Persons with Disabilities

Reviewed (May 14, 2021).

This policy was due for its five year review. No changes were incorporated.

April 2021

College Policy Manual changes for April 1, 2021

C104: Standard 1: Meal Reimbursement Amounts in Canada and U.S.A. of Policy C104

Amended (March 26, 2021) **Effective April 1, 2021**.

This Standard has been updated, as per the Treasury Board, to reflect revised meal reimbursement limits, effective April 1, 2021.

P101: Corporate Health and Safety

Amended (March 2, 2021) **Effective April 1, 2021**.

This policy was due for its annual review, as per legislation. Minor changes to terminology were incorporated to facilitate greater alignment with international Health and Safety Standards ISO 45001.

P103: Safe College Campus

Amended (March 2, 2021) **Effective April 1, 2021**.

TThis policy was due for its annual review, as per legislation. Minor changes to terminology to were incorporated to facilitate greater alignment with new provincial law regarding police services, as well as the ability for Campus Security leadership to extend the 15-day video surveillance archive for investigations requiring greater than 15 days to complete.

P104: Sexual Violence and Sexual Assault

Reviewed (Feb. 16, 2021) **Effective April 1, 2021**.

This policy was due for its annual review, as per legislation. No changes were made.

P208: Respectful College Community and Prevention of Harassment and Discrimination

Reviewed (Jan. 21, 2021) **Effective April 1, 2021**.

This policy was due for its annual review, as per legislation. No changes were made.

March 2021

College Policy Manual changes for March 4, 2021

A126: Guideline B and C of the Program Excellence Policy

Amended (January 27, 2021).

Changes to Guideline B and C were made to conform to changes in the formal program review process as identified during the CQAAP audit. In addition, minor cosmetic changes are also reflected in the new version.

A129: Donor-Funded Student Awards

Amended (February 4, 2021).

This policy was due for its five year review. Changes were made regarding athletic awards (3.3.2.) and the minimum amount required to create an endowment fund (#3.4.1.).

C307: Surveys and Questionnaires

Amended (February 22, 2021).

This policy was due for its five year review. No substantive changes were made, only cosmetic changes.

TOR27: Program Advisory Committees

Amended (January 27, 2021).

This term of reference was updated to include the new School Guide for Program Advisory Committees (Standard 1). The Program Advisory Committee meeting frequency was also changed from once during the September to June period to once during an Academic year (September to August). Other minor cosmetic changes were also incorporated.

TOR34: Program Review Committees

Rescinded (January 27, 2021).

This term of reference has been rescinded. It is redundant as a result of changes to policy A126 (see above).

College Policy Manual changes for January 25, 2021

C303: Honorary Diplomas and Degrees

Amended (Nov. 13, 2020).

This policy was due for its five year review. The only change was in the process for determining Honorary Diploma/Degree recipients.

STD02: Standards for Committee Terms of Reference

Amended (Jan. 6, 2021).

This Standard was due for its five year review. No substantive changes were made.

STD03: Schedule 1: Titles of Organizational Units

Amended (Dec. 9, 2020).

The following changes have been made:

  • Canadian Centre for Product Validation is no longer a subsidiary corporation and is now a sub-unit of Strategic Initiatives and Business Development;
  • Environment, Health, Safety and Emergency Services (formerly Environment, Health and Safety Services);
  • Fanshawe Global Corporation (formerly Fanshawe International Corporation);
  • Innovation Village (included under Office of the President);
  • Norton Wolf School of Aviation and Aerospace Technology (formerly Norton Wolf School of Aviation Technology).

TOR03: Senior Leadership Council

Amended (Jan. 8, 2021).

The terms of reference for Senior Leadership Council was due for its five year review. No substantive changes were made.
